There are three essential steps in process analysis. Drawing the process map, executing the process analysis, evaluating the process analysis.
Drawing the process map: The process map reveals the flow of transactions and activities. The process map exhibits all the steps and interrelation between them. It is very rare that a team member grasps a critical process from the beginning to the end. Through out drawing the process map, team members find the opportunity to discuss processes with experts, and how a specific task is done is clearly presented.
Execution of the process analysis: The process analysis is executed following the drawing the process map. The process analysis requires team members to look closely at and receive detailed information about each section on the process map. They raise and answer questions such as; "what is the initiator of this activity?", "How many of them takes place in each period?", "Why is it done in this way?", "How can we measure this activity?". There is standard list showing the questions to be asked. Answers to these questions are documented on a process analysis form developed specially for this purpose.
Evaluating the process analysis: The process maps and process analysis forms are evaluated by authorized individuals within the organization. The purpose is to evaluate them in completeness and accuracy. And to transfer variations from one place to the other. Afterwards, team members utilize this information as input in setting systems to meet company needs. However, it must be ensured that the information is complete and accurate.
